Managing Tenders with Cubit Select

Overview

With Cubit Select, managing multiple tenders is easy through a centralised dashboard. This guide explains how to navigate the dashboard, organise your tenders, and track their progress effectively.

 

Tips for Navigating the Dashboard

 

Tender List

      • Each tender you’re invited to quote on will appear as a separate card in the Tender List.
      • If you’ve been invited to quote on multiple trades for the same project, each trade will appear as a separate tender card.

 

Viewing Tenders

Use filters and sorting options to customise the list to fit your needs and quickly locate specific tenders.

1. Filters:

      • Requiring Attention: Displays tenders requiring your input, including:
              • Pending: Invitations awaiting your acceptance or decline.
              • Accepted: Accepted tenders that are awaiting quote submission.
              • Updated: Submitted tenders with updated trade items requiring your review and possible resubmission.
      • Pending: Shows only tenders pending acceptance or decline.
      • Accepted: Displays tenders you’ve accepted but have not yet submitted a quote for.
      • Submitted: Lists tenders for which you’ve already submitted quotes.
      • Declined: Shows tenders you’ve declined.

2. Sorting options:

      • Invitation Date: Sort tenders by the date the invitation was received, from oldest to newest.
      • Closing Date: Orders tenders by their closing date, prioritising those closing soonest or already overdue.
      • Company Name: Sort tenders alphabetically by the contractor’s company name.
      • Job Name: Arrange tenders alphabetically by the project name.

 

Tender Details

      • To access more detailed information about a tender, including tender documents, click the View Details button under the Trade Name on the tender card.
      • To access Trade Items (if shared by the contractor), you need to accept the tender and navigate to the Quote Submission page.

 

Tender Statuses

Tenders move through different stages, which are also visible to the contractor. Each status offers specific actions:

1. Pending:

      • The invitation is awaiting your acceptance or decline.
      • Available Actions:
          • Accept: Click the Accept button to accept the tender invitation and unlock access to detailed Trade Items (if shared).
          • Decline: Click the Decline button to decline the tender invitation.

2. Accepted:

      • You’ve accepted the tender invitation.
      • Available Actions:
          • Quote: Click the Quote button to access the Quote Submission page.
          • Decline: Change the status back to Declined by clicking the Decline button.

3. Submitted:

      • Your quote has been successfully submitted.
      • Available Action:
          • Edit: View and edit your submitted quote by clicking the Edit button. You can resubmit the quote if needed.
          • Edit (with update icon): Review and acknowledge trade item updates shared by the contractor. Click the update icons on the quote submission page to dismiss them. Edit and resubmit your quote if needed.

4. Declined:

      • You’ve declined the tender invitation.
      • Available Action:
          • Accept: Change the status back to accepted by clicking the Accept button to enable quoting.

 

Urgent Tenders

Tenders that are close to their due date or overdue are highlighted with special styles to catch your attention:

1. Closing:

      • The tender is closing within 1 week.
      • Indicators:
          • An orange Closing label will appear on the top-right corner of the tender card.
          • The Due Date will also appear in orange.

2. Overdue:

      • The tender’s due date has passed, but you may still submit or update your quote if the contractor hasn’t closed the tender for submissions.
      • Indicators:
          • A red Overdue label will appear on the top-right corner of the tender card.
          • The Due Date will appear in red.
