Introduction

This article is to help you understand how to use Cubit Select’s Quote Submissions feature, which allows you to invite subcontractors and suppliers to quote on your tender, share documents and trade items with them, and receive their quotes directly within Cubit Select.

 

Inviting Suppliers to Quote

Inviting subcontractors and suppliers to quote on a job is easy. The process is outlined in a separate How-To Guide: Send Supplier Invites.

We recommend letting your subcontractors and suppliers know in advance that you’ll be sending them an invitation to quote via Cubit Select. This can help to ensure that your invitations are not viewed as spam, as your subcontractors and suppliers may not be aware that Cubit Select is a safe, secure, and legitimate way to receive information from you.

The Quote Submission Lock

Once you’ve invited subcontractors and suppliers, you can begin receiving their quotes directly in Cubit Select. You have full control over whether to continue accepting submissions or stop them at any time, for either the entire job or individual Trade Packages, regardless of the tender due date. By default, quote submissions are unlocked, meaning new quotes are accepted.

To manage this, use the Quote Submission Controller located next to the Job Name and each Trade Package in the Trade Packages tab to easily lock or unlock submissions as needed.

 

Sharing the Trade Items (Optional)

You can share your Trade Items with subcontractors and suppliers (optional) by using the new Share button located above the Quote Comparison Grid under the Quotes tab. This allows them to view the item details and submit itemised pricing against each individual item.

Only the Description, Quantity, and Unit of each Trade Item will be shared, your rates and totals remain private and visible only to you.

Once items are shared, the Share button will be disabled and displayed as Shared, and no further action is needed at that stage. However, if you make any updates to the items in the grid, you’ll need to Reshare them with your subcontractors and suppliers to ensure they can view the latest version. Suppliers won’t be able to submit a quote until the updated items have been reshared, this ensures both you and your suppliers are always working from the same set of information.

 

Receiving Quotes

Subcontractors and suppliers can create a free Cubit Select account to prepare and submit quotes easily and manage all their tender invitations and submitted quotes in one place.

When a supplier submits a quote, it will automatically appear in your Quote Comparison Grid, highlighted with a teal background to show that it was submitted directly through Cubit Select.

At the top of the quote column, you'll see an update icon  , similar to the one used when items are updated from Cubit Estimating. This icon lets you know the quote is new and needs your attention.

Once you click the icon to acknowledge the new quote, it will change to a received icon  , confirming that the quote was received directly in Cubit Select. The teal background will remain, making it easy to visually identify quotes submitted through the portal.

Depending on what you've shared, they can either enter rates for individual items or provide a lump sum total for the entire Trade Package. They may also mark specific items as included or excluded, upload supporting documents, and add notes to accompany their submission.

Any notes included will be displayed in the Notes panel on the right-hand side, and any attached documents will be accessible through the Quote Documents dialogue on the Quote Summary page.

In addition, both you and the subcontractor or supplier will receive an email notification with a PDF copy of the submitted quote for your records.

The new Quote Submissions feature lets you start comparing quotes immediately, no need to open multiple spreadsheets and manually enter costs. Once quotes are in, you can quickly move on to selecting your preferred subcontractors and suppliers to finalise your estimate with confidence.
